Responsibilities:
Provide daily morning briefings to the owner covering calendar, tasks, and priorities.
Develop systems and processes to handle reminders and outreach, aligning with owner relationship goals.
Assist and support the owner in various business and personal areas.
Manage the owner's calendar, coordinating personal and work-related meetings, calls, video conferencing, corporate meetings, and large team events.
Offer comprehensive assistance, including research, coordination with legal professionals, sensitive communication handling, documentation, and emotional support for clients in divorce proceedings.
Stay informed on CDRE procedures and real estate laws, maintaining strict confidentiality in handling sensitive client information.
Act as the primary point of contact between the owner and internal/external clients.
Respond promptly to calendar requests, adapt to changing priorities, and efficiently schedule important engagements.
Politely decline or delegate invitations when necessary.
Screen and direct phone calls, handling requests and queries appropriately.
Generate reports, presentations, and briefs.
Effectively manage deadlines and client relationships.
Organize and systematize both physical and digital file systems.
Provide excellent customer service, keeping clients updated, and managing phone inquiries.
Qualifications:
College graduate preferred Strong verbal and written communication skills Organized with meticulous attention to detail, history of managing multiple projects, duties, and assignments with a commitment to excellence Proactive approach, following up on open items, anticipating issues, and closing loops on pending requests Critical thinker with the ability to anticipate needs, pivot quickly, and proactively address challenges Results-oriented and capable of taking charge when necessary Proficient in Microsoft Suite (Word, Excel, PowerPoint) and video conferencing (Microsoft Teams, Zoom), as well as Google Suite Familiarity with project management apps and organizational chart software Thrives under pressure and meets tight deadlines Ability to multitask and prioritize daily workload Tech-savvy with a curiosity for learning new processes, tools, and technologies Demonstrates discretion and maintains confidentiality About Company Greenwich Bay Brokers, founded by Rhode Island real estate attorney Sean O'Leary, offers a unique blend of legal and brokerage representation, providing clients with a single point of contact for all real estate concerns.
